Terms & Conditions 2018

Homestay Consultancy Ltd is an accommodation provider and acts as an agent introducing students to homestay host families. Both the student and the host family are entering freely into a Homestay Consultancy booking.

All fees must be paid in £GBP Sterling before arrival or 14 days from the date of invoice (whichever is sooner).
Short term bookings (< 3 months) must be paid in full, in advance. Long term bookings (>3 months) are subject to 3 months payment in advance and can be extended by further payments of 3 months in advance, by arrangement only. All transfer charges incurred must be paid by the customer so that the total outstanding balance is received by Homestay Consultancy. Invoicing is typically on a monthly basis, credit will be given for unfulfilled bookings, subject to the terms in this document.

If a student wishes to move homestay for their own personal reasons then an additional administration fee may be charged. Course booking fees are non-refundable. Any claims for refunds or overpaid fees must be made in writing within 3 months of the booking date or cancellation confirmation date. Thereafter no claim can be made. We reserve the right to refuse entry to the homestay if fees are not paid. All cancellations, withdrawals or changes should be submitted in writing at least two weeks in advance and receipt of cancellation must be confirmed by Homestay Consultancy. All bookings carry a non-refundable two-week accommodation cancellation charge. The administration fee is non-refundable.

As a customer (student, school, agent or host family) using Homestay Consultancy’s service, you accept that you are responsible for your own actions and safety. You may be living in a mixed-gender house with other students from different countries/cultures. You may be sharing a room with another student of the same gender (unless booking single occupancy accommodation). You will abide by the house rules and respect other residents and their property. You are responsible for any injury, loss or damage and resulting costs and will not hold Homestay Consultancy liable. Suitable insurance should be taken out against such risks. Homestay Consultancy shall not be liable under any circumstances for any direct or indirect costs including but not limited to; damages to people or property, loss of earnings/profit, cost of travel or alternative accommodation as a result from the service Homestay Consultancy provides.

Whilst Homestay Consultancy is acting as an agent, all third parties involved are prohibited from approaching or recruiting the host family clients. Homestay Consultancy reserve the right to charge for loss of earnings should a host family be recruited following their introduction to the third party by Homestay Consultancy. All host family contact must be directed through Homestay Consultancy unless in an emergency or express permission has been given by Homestay Consultancy. We will always work with our customers, students and host families to resolve any queries in the best interest of our business relationship.

Privacy / Information

Any data that Homestay Consultancy provides is strictly confidential. All parties covenant at all times neither to communicate or exploit for any purpose any data, confidential knowledge or information relating to any party. Any information passed to Homestay Consultancy will remain confidential and not passed on to any other parties, with the exclusion of Host Profiles and contact details for booking purposes or booking information to council, government and law enforcement bodies. Occasionally Homestay Consultancy will use your personal details to inform you of new information/services provided by the company for marketing purposes.

Your data will be handled in accordance with the Data Protection Bill 2017 and will only be used to keep you informed about our services. We will not share your information with any third party organisations except where;
Such transfer is a necessary part of our activities, or We are required to do so by operation of law.
